Large Employee Database – Centralized Management on 1Office

To solve the problem of managing the records of over 300 employees, IIG Vietnam used the HRM feature on the 1Office software for centralized management. Specifically, managers can enter data or import employee information files into the software. All information for the entire staff is compiled and stored in one place for easy management.

In addition, the working status of employees, such as: Working, on maternity leave, resigned… is also updated visually and clearly on 1Office. Information about labor contracts, insurance lists, performance appraisal reports, personnel decisions… is also clearly categorized and located within a single management system.

Timekeeping and Payroll – Flexible Automation on 1Office

Ms. Pham Thi Loan – Chief Accountant of IIG Vietnam, when asked about the difficulties in her work, shared: “Previously, without timekeeping and payroll software, my staff had to collect all payroll information for the entire workforce, add leave requests, OT, or business trip schedules, and then classify and calculate salaries. These manual tasks took a lot of time to review information. We even had to work overtime during the payroll period to complete reports for leadership approval and to pay employees.”

However, when the company implemented the 1Office software, the workload for the Accounting and HR departments was significantly reduced. First, for employees, they can create their own requests on their personal accounts. After the request is approved, the data is automatically pushed to their timesheet. Second, timekeeping data is transparent and public, making it easier to control. Employees can check their own workdays and salary daily, without needing to be sent detailed salary emails as before.

When it’s time to calculate salaries, the accountant just needs to calculate the final salary based on the data available on the system. For leadership, they can easily track the entire employee payroll, categorized by branch and department.

Effective Recruitment Implementation

A company representative stated that thanks to the Recruitment feature integrated into 1Office, the HR Department’s recruitment process has become more flexible. Specifically, the HR department can create recruitment proposals for different positions.

The recruitment process is optimized directly on the software as follows: Track all submitted applications; evaluate and change application status to pass or fail; schedule interviews; classify CVs as successful or not; and store candidate profile information.

Finally, the task of reporting on recruitment campaigns, either monthly or periodically, is also integrated into the 1Office software. The person creating the report can use available report templates or create new ones for easy management. This function helps the HR Department manage information more accurately, transparently, clearly, and professionally.

Remote Communication and Employee Connection

It can be said that the issue of communication and connecting employees from different branches is always a problem that large enterprises pay special attention to.
