I. BPM – Business Process Management Feature
- Allows creating and approving another object directly within the workflow
- The workflow can automatically proceed to the next step when an object is created, approved, or rejected
- Allows creating related objects between workflow steps. For example, you can create a sales contract for the very customer that was previously created
Features
- In the process template, an additional workflow process node is generated
- The process node must be connected from an action node, a complete/pause/cancel node, or a create object node
- Allows setting parameters for 3 fields:
+ Object: The object that needs to be created in the process
+ Assignee, group of assignees: The person who will create the new object in the process
+ Create from object (If any): If the current object can be linked to the object of the previous Create Object node
- When the assignee completes the task, the system will send a notification to the assignee of the Create Object node to proceed with the creation
- The assignee of the Create Object node must have permission to create that object. For example, the assignee of the Create Customer node must have permission to create new customers in the Customer module
II. Form Builder
- Form Builder is a comprehensive upgrade in both features and user interface for the Customize Form function in process templates
- In a workflow, customers can create a form
- Form Builder allows for actions such as creating forms, customizing forms, dragging and dropping, arranging, etc., directly within the process template, helping customers transfer data simply, specifically, and intelligently on the system
- Adds several new field types in Form Builder:
+ User: Allows selecting personnel within your company
+ Department: Allows selecting departments within your company
+ Attachment: Allows uploading attached files
+ Formula: Allows setting up formulas to calculate data from other fields in the Form Builder. When data is entered into the form fields, the system will use the pre-set Formula field to calculate and display the result
- When creating a new process task or submitting a report for an Action/Status/Approval node, the system will display the fields in the order set in the Form Builder for data entry
III. Workflow Reporting
- Recognizing that the workload for each employee in a process can be substantial, managers need a way to manage the volume of completed work and generate reports over time. To help managers quickly and conveniently compile statistics on completed tasks, 1Office has added a Reporting feature to workflows
- In the process template details, 1Office has added a Report tab – which provides statistics on the data reported at each reporting step and the total data over a period of time
- Allows filtering report field data by day or by a specific time range and exporting the report table
- On the process task list screen, allows filtering data from reporting steps for a specific process
IV. Other Feature Upgrades in Work
- Added an option in regular task settings: Do not allow the assignee to edit the start/end time when reporting task completion
- Added Process Template Code, not mandatory
- Added Project Code, not mandatory
- Allows the approver of a subsequent step to view the approval comments of the approver from the previous step in a process task
- Added Process Group in process templates
+ In process template settings: Added process group settings
+ Allows grouping multiple processes into a fixed Process Group
+ When selecting a Process, the system displays the list of process templates in a parent-child format: Process Group and Process Template Name
- Allows viewing in Kanban and Gantt formats on the task list screen. When clicked, the system will automatically switch the view and filter to show only regular tasks
- By default, when entering the work module, the list of tasks you are currently working on with the status ‘In Progress’ will be displayed
- The checkbox ‘Allow assignees and followers of sub-tasks in the process to view the parent task’ is checked by default when creating a new process template
