Solving the challenge of managing 500 employees

Minh Kha Investment and Development JSC currently has 5 manufacturing plants distributed across the country with a workforce of over 500 employees. Consequently, the HR (human resources) department constantly faced many management difficulties. These included the challenge of timekeeping, payroll calculation, and connecting employees from different locations.

According to a representative from Minh Kha, the HR director previously spent a lot of time on timekeeping for all employees. The accounting department also encountered many errors when calculating salaries manually using Excel files. The workflow from HR to Accounting faced numerous obstacles due to inconsistent information. As a result, whenever payslips were issued, the responsible department frequently dealt with employee complaints and requests for data correction.

Therefore, Minh Kha decided to use the 1Office software to solve the timekeeping and payroll challenge. 1Office allows the company to integrate data from the time clock, syncing it with each employee’s timesheet. This data is then automatically calculated to generate payslips for each employee/departmental position based on pre-set formulas. As a result, the HR and Accounting departments were able to reduce their monthly workload by 50%. They no longer had to spend a lot of time creating hundreds of individual timekeeping files, checking data, and generating hundreds of different payslips.

Additionally, Minh Kha faced difficulties with internal management and creating a connected space for employees, units, and departments across 5 different branches. The challenge was how to easily connect the entire remote workforce. To address this, Minh Kha fully utilized 1Office’s Social feature to focus on building and developing their corporate culture.

The social network stores complete information about the department, job title, contact details, photos, etc., of all company personnel. Anyone, from leadership to staff, can easily look up basic information about each other.

Furthermore, members of a unit or department can create public or private groups. This allows personnel to regularly post work announcements, performance reviews, competitions, etc., on the group’s wall. Here, everyone can follow and interact directly. This enables all employees across the 5 different branches to connect in a common digital space.

Managing all work on a digital platform

According to the company representative, Minh Kha regularly receives nationwide orders for consulting, designing, and installing wooden pallets. Therefore, two critical challenges the company needed to address were managing workload and inventory. Previously, Minh Kha used foreign software for work management but still faced issues with fragmented and unsynchronized data. Managers often lost track of work information, making it difficult to monitor progress.

1Office helped Minh Kha manage all work synchronously on a single platform. Here, managers or employees can create tasks, assign work, and set specific deadlines. Notably, all data related to workload, progress, and task status is updated in real-time on reports. These reports can be tracked using a Kanban board or Gantt Chart.

Each department in the company is responsible for various tasks such as treasury operations, material procurement processes, production management, and more. Each of these tasks contains many different sub-tasks. They may also require a unified workflow to be established. Each workflow includes multiple stages and different people in charge. For this reason, Minh Kha utilized the Workflow Management feature in the Workplace module.

Every step of the work process is digitized into a smart and scientific workflow.

Specifically, for pre-defined processes, such as the material purchase request process, the company digitizes them on the system. This means the process includes steps like: the person creating the purchase proposal, a manager’s confirmation or rejection, followed by leadership approval. Each person, task, and approval step is mapped out and assigned to individuals within the same workflow. This way, when it’s someone’s turn, they receive a notification and can proceed with their step.

For tasks that do not have a specific process, Minh Kha has utilized the template workflows available on 1Office. With these, managers only need to assign the person in charge and set a completion time.
