Task delegation is one of the essential skills of a good manager. Managers create opportunities for employees to hone their expertise and skills by assigning suitable tasks and encouraging them to work.

Common Mistakes That Lead to Ineffective Task Delegation
However, “delegating” is not a simple task. Many managers often make certain “mistakes” that prevent employees from realizing their full potential. These “mistakes” in the process stem from the following reasons:
- The boss “hoards” work: This may be because the boss thinks they can handle the work faster and to a higher standard themselves. Or it could be due to the fear that an employee will do the job better than them. Therefore, the boss is unwilling to delegate tasks to others and doesn’t assign the right tasks to employees.
- Only delegating to familiar employees: Assigning tasks only to a few familiar employees who are more competent than others can lead to them being overloaded and working less effectively, while other employees don’t get the opportunity to showcase their talents. Sometimes, the tasks assigned by the boss are not even suitable for those familiar employees.
- Assigning the wrong task to the wrong person: When delegating to employees, a boss needs to be subtle and skillful. Choosing the wrong person for the job (assigning tasks that don’t match their abilities or are beyond their capacity, or giving unclear instructions) also leads to ineffective delegation.

An Effective Plan for Delegating Tasks to Employees
To delegate tasks effectively, a manager needs a proper plan, from defining objectives and selecting the right people, to creating an implementation plan, and then monitoring, adjusting, and evaluating the results:
- Define the task’s objective: For example, if the company’s monthly revenue target is 1 billion, how can this goal be achieved?
- Choose which tasks to delegate: Consider and categorize tasks as important and urgent, or not important and not urgent, to select the appropriate employee.
- Identify the right person: Find someone with the right qualifications and skills for the task.
- Create a plan: Outline the steps to complete the task.
- Monitor, coach, and adjust: Encourage and motivate employees, identify any issues, and make timely adjustments.
- Evaluate the results: Assess the level of completion and the quality of the outcome.
It can be said that the skill of delegating to employees is a “talent” and an “art” for a manager.

Delegation Skills for Employee Effectiveness
Delegating to employees is not just about giving them the authority and responsibility to perform a task. It is also considered an “art.” John Quincy Adams – an American statesman – once said:
If your actions inspire others to dream more, learn more, do more and become more, you are a leader.
- Employee delegation skills
1 – Join in, be there for your team
When delegating tasks, managers shouldn’t just point fingers or issue directives. Take action to show your employees that their “boss” is a companion who is always fighting alongside them.
This is also the quickest way to bridge the gap between boss and employee, creating work efficiency. The boss can understand their employees better. Employees are no longer “haunted by the fear of their boss” and can work happily. “A skillful leader will have a cheerful following” – Thomas Fuller.
2 – Provide relevant information
You can’t just assign a task, then remain silent and offer no further explanation. It’s important to promote communication at work. This helps you provide relevant information so employees can better understand the purpose of the task. Many problems have arisen, hindering progress and reducing performance, simply because employees were unclear about their boss’s intentions. Even worse, they might head in the wrong direction, away from the intended goal.
3 – Help with obstacles
When employees have questions about their work, be ready and proactive in answering them. Resolving employees’ questions also means resolving most of the difficulties that come with task delegation.
4 – Provide hope and purpose
Delegating tasks isn’t just about a boss creating work and assigning it to the right person, who then mechanically carries it out. This approach can easily lead to boredom and confusion for employees. It can also be a reason why employees quit, leading to a labor shortage in the business. When you delegate, provide hope and purpose as well.
5 – Connect and build relationships
A key principle of delegation is that managers need to create connections and strengthen relationships between themselves and their employees, as well as among employees. Foster an open work environment that encourages communication, rather than a closed one.
6 – Make the work interesting
How interesting a task is is one of the concerns employees have when they receive it. Effective delegation is also judged by the final result after the work is completed. If the work isn’t interesting, employees can easily become bored and lose motivation.
7 – Lead by example
As the “engine” of the team, a boss must lead by example for employees to follow. To keep employees on the right development path, besides clearly explaining the goals, a boss also needs to be a role model for them to learn from. Nothing is more effective than a direct example.
The skill of delegating to employees involves managers participating in the work, providing complete information, and answering questions. It also means leading by example, showing employees you care, and making the work interesting. Delegating to employees also means providing resources so they see that their boss is always behind them, offering full support, and creating the most favorable conditions for them to reach their full potential.
