The key to managing projects most efficiently is to break large projects into smaller, manageable tasks. By tracking the time spent on each task, you’ll know when and why projects are falling behind schedule, allowing you to adjust your workflow to improve productivity and enhance work efficiency.

3. Minimize large meetings

A study shows that each person wastes about 31 hours/month on unproductive meetings. For a small company of about five employees, with a salary of about $150/hour, that means they are wasting $23,250 on meetings each month.

When planning a meeting, determine if you really need your entire team to be present. Meetings are only effective for small groups of 4-8 people.

  • No need to meet in person if questions can be answered via email or phone. 
  • Schedule short meetings. It’s not necessary to default to a minimum meeting length of 30 minutes; instead, hold discussions that last about 10-15 minutes.
  • Define a clear objective for the meeting. Note that the purpose of the meeting is not simply to “Discuss issue X.” 
  • Send out a meeting outline before the scheduled time.
