Innovating to Adapt
The Vietnamese retail industry was heavily affected by the Covid-19 pandemic. Faced with the crisis, many businesses chose to temporarily close to find solutions, while the Japanese domestic goods supermarket chain Sakuko skillfully changed its business strategy to “survive” and grow. Since the beginning of 2021, Sakuko has continuously opened 7 new stores to expand its market share, once again affirming its brand position in the retail market.
As its scale continued to expand, Sakuko realized that its manual work management methods were no longer suitable. To provide a comprehensive overview of the work of all personnel across its 30-supermarket chain and ensure maximum work management efficiency for the back office, Sakuko needed the support of a comprehensive technology software. Accordingly, the 1Office all-in-one business management platform was the complete solution to Sakuko’s operational challenges.
The “Key” to Sakuko’s Smooth Operation of its 30-Supermarket Chain During the Pandemic
To ensure safety during the Covid-19 season without disrupting business operations, Sakuko established a flexible working model for its staff. The back-office (BO) team worked 100% online, using the 1Office software to plan and report on work, and regularly held online meetings and interactions to update work progress and implement timely improvements. Sakuko used the 1Office software to plan work and projects, and to monitor tasks through different stages. Each task was assigned in detail to individuals and departments. Furthermore, all processes from top to bottom—from leadership to departments, from managers to employees—were digitized. As a result, Sakuko could maintain work performance even while working remotely, while maximizing time savings and optimizing costs.
Additionally, to ensure employee performance and standards align with the company’s, Sakuko also organizes periodic competency assessment contests to raise awareness about skill and qualification training for each staff member. The HRM module of 1Office has been very supportive of Sakuko in this effort. Sakuko can build competency assessment criteria and manage them centrally on the software, while also customizing the competency framework to evaluate each department and position within the company. Based on the results, managers can assess employee capabilities to create clear development paths.
Moreover, administrative procedures such as leave requests, expense report approvals, proposals, etc., are all digitized on the 1Office platform. This helps a company with a large staff like Sakuko save tens of millions of VND each month on printing and document storage costs. Additionally, the submission and approval time is only 1/10 of that of the traditional process.
Notably, the 1Office platform has helped the company show close care for its personnel and express Sakuko’s culture of sharing and solidarity at all times. During the pandemic, Sakuko enhanced its internal communication activities, organized contests, and provided food supplies to employees, sharing the burden with staff during the pandemic in the spirit of “a little goes a long way in times of need”. All important announcements were communicated to employees in the fastest way, saving time effectively and maintaining continuous internal connection.
By applying technology, despite being affected by prolonged social distancing and the negative impacts of the pandemic, Sakuko has maintained its operations as stably as possible.
