With 14 years of establishment and development, INNO Joint Stock Company currently has nearly 300 employees in Hanoi and Ho Chi Minh City. It also owns a system of affiliated companies within its design consulting ecosystem with about 200 staff members.

From its very first days, INNO identified the research and application of technology as one of the key “levers” for the company’s outstanding growth and development. Therefore, the digital transformation journey at INNO was initiated early and has been continuously maintained and developed through the application of various technologies and platforms in both management and production.

With the decisiveness of the Board of Directors and the unity of all employees, INNO has achieved certain accomplishments in its comprehensive business digitalization, optimizing crucial operational stages such as request approvals, contract payments, and project management. 

However, after a long period of operation, alongside these positive changes, INNO also faced issues related to data fragmentation across multiple platforms. 

A difficult challenge in HR and process management

“INNO is currently applying many processes; each department and every operation has its own process. However, without a tool to manage and operate them, they all lack synchronization and are not highly effective,” shared Mr. Nguyen Tuan Ngoc, Vice Chairman of the Board of INNO Joint Stock Company.

Among the processes INNO is applying, payment acceptance is a pressing “hotspot” in the company’s operations. Without a tool to manage and automate the process steps, information exchange between departments such as production, technical bidding, debt collection, and the client side frequently experiences breakdowns, lacking continuity and consistency. Additionally, INNO’s acceptance work also faces many difficulties as project development stages often extend and have overlapping schedules.

In addition to the challenges in process management, INNO also faced a difficult problem in payroll calculation and employee recruitment and handover. 

Mr. Bui Van Quang, CFO of INNO, stated: “Currently, monthly payroll at INNO is done manually. Departments proactively create payroll sheets and send them to the accounting department for consolidation and submission to the board for approval. This is time-consuming for many departments and the accuracy is not fully guaranteed.”

When onboarding a new employee or handling offboarding procedures, departments need to perform various repetitive tasks. However, without a comprehensive digital platform for centralized management, processing these procedures is often lengthy and inefficient.

Accelerating processes, optimizing HR management with 1Office

Business operation is a holistic challenge where each task is closely interconnected, requiring shared data to solve problems. Therefore, breaking down this overall problem essentially only meets localized and temporary needs. In the long run, this approach leads to fragmented, disconnected data. Even when pieced together, it remains loose, cumbersome, and unsynchronized, making it very difficult to leverage effectively.

To thoroughly address these issues, the INNO Board of Directors sought a technology solution that met three crucial criteria: comprehensive business digitalization, high customizability, and holistic management of operational challenges. And 1Office was the “candidate” that the Board deemed most suitable for their company.

Thanks to 1Office, INNO’s human resource management is optimized, achieving efficiency in terms of time, cost, and resources. Instead of waiting for timesheets to be compiled from various departments as before, the accounting department can now automatically consolidate them through the 1Office system, based on the timesheet data and online leave requests of each employee.

After finalizing the payroll, the accountant only needs to perform a single online approval step with the management and set up automatic salary payments on 1Office. The entire process, from timesheet consolidation to salary transfer, takes only 4-5 hours, instead of the 1-2 weeks it used to take.

Additionally, INNO also has standard procedures for employee resignations and new hires. Checkout tasks are clearly listed with specific requirements right on the system, so employees can follow the sequence correctly and completely, and managers can easily check and verify.

Paperwork and procedures are also approved online, making the handover process no longer lengthy and stressful as before. After all steps are completed, the software automatically deletes the employee’s account from the system to ensure internal security for INNO.
