1. General Information about the Recruitment Process
A recruitment process template needs to meet the purpose and scope of application during the recruitment process.
1.1 Purpose of the Recruitment Process
The recruitment process is established to standardize the method of personnel recruitment within the Company. This aims to ensure the supply of a workforce with sufficient qualifications, skills, and experience to meet business production needs and the Company’s human resource development strategy.
1.2 Scope of Application of the Recruitment Process
Applies to all staff and employees within a Company or organization. This scope aims to demonstrate consistency, openness, and transparency in the employee recruitment process to serve the development needs of the business.

2. Detailed Content of a Personnel Recruitment Process Template
2.1 Job Description in the Recruitment Process Template
Heads of departments are responsible for analyzing jobs within their departments. Note to clearly describe the detailed job requirements and necessary competencies to meet the job requirements for the positions they are in charge of, using the “Position Description” template, and submit it to the Board of Directors for approval.
These documents are transferred to the Company’s Human Resources Department to keep the original. Other departments keep one copy as a basis for recruitment and training.

2.2 Designing the Personnel Recruitment Process
A professional personnel recruitment process should be designed clearly, with all necessary content.
a. Personnel Needs
When there is a need for personnel (for a new position, an addition, or a replacement for an old position), the requesting department fills in all the information in the “Recruitment Requisition Form,” seeks approval, and sends it to the Human Resources department.
b. Reviewing and Receiving Personnel Requisitions
The Human Resources staff checks the information in the “Recruitment Requisition Form.” If the information is incomplete, the HR staff requests the department to complete the “Recruitment Requisition Form” again.
c. Recruitment Announcement
Based on the Position Description for the position to be filled, the Human Resources department is responsible for contacting recruitment agencies and/or posting job advertisements on mass media (newspapers, internet, etc.). Submitted applications will be received and pre-screened by the Human Resources department.
d. Application Pre-screening
The Human Resources department receives applications and compiles the information into the “Candidates Shortlist.” Then, based on the RR and JD, they select suitable applications for the first round of interviews.
e. First Interview
The Human Resources department organizes the first interview for candidates who passed the application pre-screening round. The information and results of the first interview round for the candidates are continuously updated in the “Candidates Shortlist.” You can refer to a standard list of interview candidates template to evaluate candidates more accurately.
f. Second Interview
The second interview is conducted by the head of the department that has the personnel need. The results of the second interview round for all candidates will continue to be updated in the “Candidates Shortlist”.
g. Notifying successful candidates
Based on the “Candidates Shortlist”, the HR department sends an “Employment Offer Letter” to the candidates who passed the second interview round.
h. Preparing for the new employee
When a successful candidate accepts the “Employment Offer Letter”, the HR department requests the new employee to prepare the necessary documents and paperwork for working at the company. At the same time, they send the new employee the “[Company Name] New Employee Onboarding Checklist” to provide information such as:
- Tasks the new employee must complete during the probationary period.
- Benefits they are entitled to
- Reference links for information
- Work schedule…
After one month of work, the new employee submits the “[Company Name] New Employee Onboarding Checklist” back to the HR department, confirming the tasks they have completed, for HR to monitor and review. After two months of probation, the new employee is evaluated by their direct manager and the Director based on the criteria in the “Probational Evaluation”.
i. Signing the labor contract
Probationary employees with an average evaluation score above the company’s required threshold will be offered an official labor contract to work at the company.
